Membership Participation at Conferences

IAEE members receive a lower registration fee than that for non-members.

Student Participation at Conferences

A student is someone who is enrolled in a degree-granting program (either undergraduate or graduate) at an institution of higher learning and registered full-time according to the definition of his/her respective academic institution, and who is not employed full-time. Students must submit written verification from a professor or other verifiable school authority at their institution attesting to their full-time student status when making an application. In particular, note that post-docs and part-time students would not normally qualify as students for IAEE purposes.

The requirement must be met at the time of initial submission of research to the conference in question.Thus, a member who is a full-time student at the time of initial submission of research for presentation at a IAEE conference will be eligible to participate in events designated for students even if that person's status changes such that he/she is employed full-time at the time of the conference in question.   • Students must submit student verification form attesting to their student status.

Note: Only one pdf document should be uploaded during registration. Therefore, the student verification form should be uploaded to the system as a single pdf file.

 

Young Professional Participation at Conferences

For two years after graduation from a full-time education program, qualified young professionals ( up to 35 years old) may attend IAEE Conferences by paying a discounted registration rate.

The requirement must be met at the time of the initial submission of an abstract to the Conference. A young professional must submit one of the following written verifications attesting to their young professional status:

  • Copy of their transcript from the institution they attended within the last two years

  • A written letter from their faculty advisor attesting that they were a full-time student within the last two years

To verify that an individual's age is less than 35, a copy of a driver's license or other government-issued identity card (e.g., passport) will need to be submitted to IAEE.

Note: Only one pdf document should be uploaded during registration. Therefore, the Young Professional verification letter and copy of the identity card should be combined and uploaded to the system as a single pdf file.

 

Spouse/Guest Registration Fees  

Spouses or accompanying persons receive the lowest registration fee. Their fee should only cover the costs of the opening/welcome reception, evening gala dinner function(s), and social event attendance rights. Spouses/accompanying persons do not have access to conference meetings. Efforts should be made to ensure that a delegate who wishes to attend sessions does not register as a Spouse/Guest registrant.

Format for Full-Text 

Submitting the full paper is optional.

If you would like to send the full abstract, there is no specific template for the full paper, nor do we have any particular expectations regarding topic headings and content. However, you should pay attention to the following points to ensure compliance with the format:

"Manuscripts should be double-spaced using a 12-point font on pages 8.5 x 11 inches or the metric equivalent. The first page should contain the article title, author(s)' name(s), and complete affiliation(s), title, and complete mailing address of the person to whom all correspondence should be addressed. Pages must be numbered. An abstract of no more than 150 words must be included. Please include keywords below the abstract. Manuscripts (including abstracts, footnotes, and references) may not exceed 25-35 pages or 9,500 words. Appendices may be provided separately, which do not count against the length limit

Format for Posters 

Posters for actual presentation at the conference must be brought by the student directly to the conference venue and must be in ANSI E size (34in. x 44in.) or ISO A0 size (841mm x 1189mm) in portrait or landscape format. We have no other requests concerning the format, and the presenter can arrange the presentation as they prefer.

Conference Delegate Cancellation/Substitution Policy

IAEE’s cancellation policy is fairly straight forward, following industry standards. Our current policy states:
“CANCELLATIONS/SUBSTITUTIONS: All cancellations and substitutions must be received by email.
Cancellations received on or before June 3rd, 2024, are subject to a non-refundable <$250.00 minimum>
administrative fee. Cancellations received after June 3rd, 2024, will be honored; however, no refund will be made. There will be no refunds for “no shows.” There is no exception allowed to this policy. Should you
be unable to attend, substitutions may be made to transfer your registration to another member of your
